One-Time vs. Subscription POS Software: The Real Cost Over 3 Years

A subscription looks cheaper on day one. Here's what actually happens by year three.

The pitch that's easy to say yes to

"₹999/month" sounds like nothing next to a ₹17,999 one-time bill. That's exactly why almost every POS vendor leads with the monthly number — it clears a much lower bar at the point someone's deciding whether to try the product at all. The real comparison only shows up once you do the arithmetic past month one.

The actual math

Take a fairly typical mid-tier subscription POS at ₹999/month, ₹11,988/year:

A one-time ₹17,999 license crosses under that line somewhere around month 19 — and then it's simply done. Whatever you'd have paid in year 3, year 5, year 10 of a subscription is money that never leaves your account with a one-time model, because there's no month 20 invoice to pay.

It's not only the sticker price

Subscription pricing usually isn't flat either. A few things that commonly change the number after you've already committed:

None of that shows up in the "₹999/month" headline. It shows up on your card statement six, twelve, eighteen months in.

The real risk isn't the money — it's the dependency

A subscription only keeps working while the bill keeps getting paid. Miss a renewal, have a card expire, or have the vendor change terms, and billing can stop working at the counter — during business hours, for a shop that has customers standing there right now. A one-time, locally-installed license doesn't have a kill switch tied to a recurring payment. The app you paid for once keeps working, because there's no ongoing transaction it depends on.

When a subscription genuinely makes more sense

To be fair to the model: a subscription can make sense if a business is still figuring out whether it needs the software at all, or if cash flow genuinely can't absorb a larger upfront cost right now. Low commitment has real value in the first few months. The tradeoff is that the low-commitment period ends and the ongoing cost doesn't.

Where ZeInfoTech POS lands
